Competition Staff arrives in Orlando (Some teams may arrive this day or may already be in Orlando). 10 x 10 foot tents will be set up after 11:00 PM by Disney PPW Staff. Also, Freeman Decorating will deliver any shipments that they have been holding in storage.

6:30 AM Teams may begin set up of their equipment in tents supplied by Disney (other than the judges' tent, you may select the tent of your choice-- first come, first served (so if you want to be nearer the arena, get there early). Disney will have made signs introducing your team. These may already be placed on tents when you arrive (if necessary, swap signs to reflect reality). 7:00 AM Orientation for Aerial Robotics Teams and Staff to be held in EPCOT at the "Electronic Forum". (recommend that you try to be at EPCOT near the Guest Relations Window no later than 6:30 AM) 7:30 AM Teams may continue set up of their equipment. Staff will lay out arena so Disney PPW staff can mark white boundary lines at 8:00 AM. 8:00 AM Disney PPW staff will mark white boundary lines. Staff will survey in potential Drum locations and mark them. 6:30 AM Teams may enter EPCOT. 8:00 AM 1996 International Aerial Robotics Competition begins. 8:15 AM All on-stage areas need to be show ready for EPCOT guests. 8:30 AM EPCOT opens for guests. 1:00 PM (Estimated end time for Intl. Aerial Robotics Competition) 2:00 PM Put vehicles on static display at arena and answer questions by interested EPCOT guests/media. 5:00 PM Shut down, close tents. Free time until 7:00 Awards Banquet. 7:00 PM Awards Banquet being hosted at EPCOT's "Imageworks" (Free tickets to this dinner will be handed out to the teams. Winners and rankings of the aerial robotics competitions will be announced at this time.

Note: in the event that the performance judging must be postponed due to violent weather on Monday July 14, the performance judging will continue on Tuesday July 15. The likelihood of this is remote due to the July weather patterns in central Florida. Should the competition spill over into the "rain day", all previously scheduled events such as the Monday night Awards Banquet would still occur on Monday at their regularly scheduled times.
----- IMPORTANT GENERAL INFORMATION FOR THE TEAMS -----
Monday 14/Tuesday 15 Teams are encouraged to set up their entries for display at the competition site after the competition has concluded. Set up of a static display of your vehicle should be done at this time while removal of all remaining equipment from EPCOT (tents) is best done after the park closes, however expensive equipment should be removed to a secure area as soon as it is no longer needed.
Saturday 12 through Tuesday 15 Teams may want to do flights for the public under "manual control". This is acceptable and encouraged, but you must clear such flights with an AUVS official on site beforehand so precautions can be taken to assure that the public out of the arena. All such flights must be within the confines of the arena.
Saturday 12 through Tuesday 15 PARKING: Please park in the "Diamond" parking lot. Signs will be located after you enter the auto plaza for "International Aerial Robotics Competition" parking. Please plan to attend the orientation on Saturday July 12 (to be held in the Electronic Forum in EPCOT; Innoventions East). Please meet outside the "Guest Relations window" (to the right of the main entrance near the arena) at 7:00 AM. Important information about the conduct of the competition at EPCOT will be given during this meeting. Parking passes will also be distributed at this time. During your initial set up and final take-down, you will be able to park temporarily in the medical parking area near the arena. This is only for equipment unloading and loading, and that is to occur only between the hours of 8:15 PM and 8:15 AM (not during the normal park operating times). Your compementary parking pass will gain you access to the EPCOT Guest parking lot during the days of the competition (Saturday 12 through Tuesday 15) and to the medical parking area (only while unloading or loading equipment, and then only between the hours of 8:15 PM to 8:15 AM).
ID PASSES: All valid team members (not entire families) whose names are provided beforehand, AUVSI staff, judges, and designated helpers will be provided pre-printed ID badges at the orientation meeting on Saturday July 12. These badges will identify you as part of the Disney "cast" during the event, and will grant you unlimited access to the EPCOT park (only) during the days of the competition (Saturday 12 through Tuesday 15 only). You may use this pass to enter the park for whatever reason, including the purchase of food and drink. You may eat at any of the park restaurants or at the cast cafeterias, the location of which will be disclosed during the orientation. Any abuse of these passes will result in disqualification of the abuser's team.
WHAT SHOULD YOU WEAR?: Casual business attire is acceptable (e.g., polo shirts and khaki pants). Team members should wear their team T-shirts during the days of the static and performance judging. AUVSI Competition T-shirts to be given out the evening of the awards banquet are also acceptable.
OPERATING HOURS: Competition practices will be open to you from 6:30 AM to 8:00 PM daily from Saturday July 12 through Tuesday July 15. All participants must be "show ready" and operational no later than 8:15 AM when the guests will enter the park.
SECURITY: Security will be provided from 5:00 PM until 8:00 AM starting Saturday July 12 through Tuesday July 15. Team members are encouraged to take any and all valuables with them when they leave the display areaas for the evening. The Walt Disney World Co. is not responsible for any lost or stolen items.
CAN I ASSEMBLE MY VEHICLE ON LOCATION: Yes, however we encourage you to have your vehicle as complete as possible prior to your arrival. We are aware that minimal assembling will be necessary. All teams are responsible for providing the tools necessary to assemble their individual vehicles. Due to custodial and theming requirements, please refrain from painting anything once on site.
POWER: Disney will provide clean 110 VAC, 60 Hz power to the arena and to the team tents. Each tent will have four 3-prong grounded outlet receptacles. The starting area of the arena will also have four 3-prong grounded outlet receptacles. If you require more outlets, plan to bring your own outlet expanders to suit your needs. Teams using 50 Hz or 220 VAC power must supply their own transformers/converters. Power will be available beginning at 7:00 AM each morning of the competition and will be shut down after 8:15 PM each evening.
FOOD ON SITE: Disney will provide water coolers and a single oscillating fan for your comfort at your work tents near the arena. Disney asks that there be no eating, drinking, smoking, or chewing gum in the competition area as the Disney Code of Conduct request that your "on stage" presence be professional with show presence at all times. Whether you realize it or not, YOU will be part of the Disney experience for the guests-- they will look to you as part of "Disney".
USE OF 2-WAY RADIOS: As you are all aware, each team will radiate on various frequencies during the conduct of its robotic missons. The team members often use personal communicators during a run. All frequencies of operation should be noted so AUVSI can relay these not only to each of the teams, but also to Disney for their information. During the 1996 competition at EPCOT, there were no occurences of radio frequency interference noted. We expect the same to be true this year. The park does use RF to contol many of its systems, attractions, as well as staff and cast communications. Therefore, the use of your 2-Way personal communicators is prohibited within the park. Restrict the use of these (normally short-range) devices to the arena area.
DISNEY LOGO: Promotional use of pictures and the Walt Disney logo is prohibited without authorization.
SHIPPING: If you need to ship items to EPCOT in advance of your arrival, you must work through the following company: Freeman Decorating 2300 Principle Row Orlando, Florida ATTN: EPCOT - "International Aerial Robotics Competition" Shipping Manager, Scott Ford Phone: (407) 857-1500 Note that you may use any shipper to get your materials to Freeman Decorating, and Freeman Decorating will store your items temporarily (at no cost), delivering them to EPCOT early on Saturday July 12. Freeman Decorating will also remove items from EPCOT for pick up by your long distance shipper.
IMPORTANT: Please ensure that "your team name" and the name of the event (International Aerial Robotics Competition) is on the package being shipped. Shipping costs to/from Freeman Decorating will be YOUR responsibility.
